The initial situation
Either all the offers that have yet to be calculated are piling up on the desks of your quantity surveyors and/or you know that the „all-inclusive“ prices generated in your company for the increasingly individual offers do NOT REALLY reflect the reality. Not to mention the manual quantity determination with all its potential risks and the fact that virtually every house can be calculated using different methods, which leads to various house prices - and conveniently enough, everybody in the company is aware of that.
Of course, the competitor is much faster in creating individual offers and can even create ad hoc offers during their appointments on-site. Their prices are generally “always” more reasonable, they are perceived as more competent AND have been much more successful during the past few years.
If all this sounds familiar, you might also know the “exceptional cases” when you realize in the middle of a project that the cantilever plate under the bay window (which became part of the job again after redesigning the house for the second time) was forgotten, just like the second entrance door leading to the garage. To top it off, your surcharge for the passive house windows was well estimated, however only with respect to the “normal” window from the initial planning. Unfortunately, the clients have opted for higher windows.
Although you know that you can certainly sell a part of that to the builders in the context of sampling, the good profit margin is gone.
By entering the planning data in Vi Plan, you have already completed the job of determining the quantities. Rest assured that forgetting e.g. the cantilever plates or entrance doors is a thing of the past.
Due to the consistency of planning and calculation, no individual offers are piled up on the desks, because they are created within a few minutes using the design. Each lump selling price, regardless whether they are intended for the seller or the sampling, is provided with an automatically retrievable pricing formation, which is always based on the current prices and is "only politically" adjusted.
Knowing exactly which areas are subsidized and where how much money is earned, has not only changed the prices of some of your “classics", but also contributed to the increased profit margin.
Due to the newly acquired real price security, it is irrelevant whether the sales price formation takes place on the computer using Vi Kalk or the sales program Vi CAS OR if it is done using the printed price lists in Word / Excel OR on the proverbial "beer coaster". Since all prices are formed via the same, mostly automated functions, the way in which the offer is created will not influence the result.
To be fair, the high level of acceptance of the CAS in sales accelerates order verifications, which leads to a considerable time saving. The important thing, however, is that your "old warhorses" can continue selling as successfully within the new structure as before.
How it works
The design is always the basis of the calculation. It delivers both masses and quantities as well as information about correlations used for the calculation. A cantilever without a basement on the ground floor is recognized automatically as are roof or wall connections, valleys or walls that are not precisely on top of each other.
The cost calculation for the project is generated with one click. At this point, you can decide whether you want your own specifications (dynamic specifications) for planning, or if you want to work with standard specifications. The dynamic specifications ensure that everything you offer the customer, will be described dynamically. If you opt for standard specifications, the only things described in the offer are those that differ from the standard including the respective additional charge / price reduction.
The price list including the freely definable surcharge schemes can also be selected per calculation. You can generate an unlimited number of price lists. Depending on the respective specifications, the price lists can be either released or blocked.
The different construction stages, which can be selected per floor, define the basic scope of the offer. Whether "turn-key", "almost finished" or "starter house" – there are no limits to your flexibility
You can limit the basic scope of the offer through personal contribution packages at any time. A function that is useful for building owners who want to know exactly, which service is worth investing their time. Often the "credit note" granted for the personal contribution is the decisive factor here.
The service packages are available to you for extending the basic scope of the offer. Therefore, you have the option to either sell „from top to bottom” – turnkey minus personal contributions as well as „from bottom to top“ – basic delivery scope + interior work + building equipment + basement etc.". Here, faulty combinations are impossible.
The user interface where you can specify any deviation from the standard of the selected specification, is called optional equipment. This is where you define the "special equipment". Even though the sampling takes place in Vi Kalk, the user rights determine who can use which level of detail (seller – quantity surveyor - sampler).
Despite all its flexibility, operating the software is completely self-explanatory. It automatically displays only the control elements relevant for the project, which are all provided with a detailed explanation.
Once you have realized the design requested by the customer, the calculation is carried out. The result is not a price, but a complete price list containing base price, credits for personal contribution, the description of all differences from the standard incl. additional charges and price reductions and any optional constructions.
It is up to you, whether you create the calculation for a house with Vi Kalk directly by the seller or have it done by an in-house quantity surveyor / designer. If the calculation is created internally, it can be sent via email to the sellers, who work with the CAS and entered into their individual offer section with a single click. All others receive the offer e.g. as a PDF file.
Automatically calculating hundreds of houses
Another exciting option is the automated calculation of multiple houses. In cooperation with the CAS, you can automatically calculate your entire house catalog in every desired variant. This requires for the plans to be entered in the CAS. It is up to you, whether you use this functionality to e.g. re-calculate the house prices after a price increase OR prior to any price increase to find out how it would affect your business. It is a fact that Vi user, who use this functionality are not busy for weeks or months even if they had to create thousands of conceptual designs and new price lists.
Just like the offer, the tender will be automatically created as a result of the calculation. The output tender can either consist of short and long texts sorted by crafts or summarized. You can control whether the calculated prices are displayed individually or in summarized form by a click - just like you can control the output for the floors.
The material master
One of the calculation options is that the material price of an item is not entered or imported from the ERP system, but is created by a BOM in Vi Kalk. Next to the item "create vertical truss 8 x 16“, the BOM would break up the item in m³ solid structural timber, kg or pieces of small iron parts, if you build it at your company.
The materials each have a purchase price and in combination form the total material price of the item. If the material master is used, it is usually taken from the commercially responsible system and also the prices are maintained there. Numerous import and export functions facilitate this process.
Time targets - allowed times
Just like for the material, the time targets for the services are stored in the form of time target lists (allowed times) and that the service is calculated via real and/or average wage. You can decide whether you use this functionality for each individual item. If you categorically work with time targets, you will receive the complete evaluation of the calculated determined time as the result of the calculation. The same applies for the material master.
The balance sheets
As a result of the calculation, the full range of balance sheets is provided. These include the multistage surcharge schemes deposited by you that allow you to specify the level of detail of the analysis. Besides the classic balances, the sales balance incl. any land and incidental site costs are available.
Supplementary budget calculation - order updates
Often, changes in planning, equipment or the scope of the order are made after an order was placed. After modifying the offer of an order, you will find yourself in a different calculation mode. In order updating everything is checked against the latest order status and any difference is automatically displayed. If, for example, the knee wall is increased by a row of stones or the slope of roof changed, the order update automatically takes into account all changes in quantity, from the shell on the facade and the insulation to all interior finishing services. Forgetting something is therefore impossible, because you no longer have to think of everything. The supplementary offers are of course also automatically generated just like the "normal" offers.
Vi Price maintenance OR connection to your ERP system
Obviously, you cannot do a calculation without prices. Either you work with an ERP system, which contains the relevant items incl. current prices - then the connection to this system is the correct procedure (we have already realized this for many manufacturers of prefabricated houses) OR you start working with the current medium prices contained in our industry model “Timber construction”
Even if you can use these prices as an excellent basis for comparison, it is only a matter of time before you need prices directly from your subcontractors. So why not using the correct prices from the beginning and from 2-3 businesses for each trade? Precisely for this purpose, we have developed our online service Vi Price maintenance.
You can upload the tenders from the calculation directly to the internet service. Here you enter your subcontractors once. From this point forward, the system automatically informs the subcontractors of new tenders, reminds them of deadlines and alerts them if their prices are too high. It must also be mentioned that in Vi Price maintenance you compare tenderers, find the optimal tenderer and can carry out any medium price formations.
